Main Duties and Responsibilities:

  • Provide administrative support to the Directors’ and business unit
  • Diary Management on behalf of the Directors’
  • Collation and management of various key reports; chasing up any outstanding reports:
  • CiP reports
  • Site reports
    • Labour Returns
    • iPad reports
    • Material Returns
    • Contract Managers Monthly Audit
    • Site Progress reports
    • Plant Returns
    • RAMS (prior to starting on site)
    • Non-recoverable reports
  •  Collate information for the Resource Schedule submitted by Contracts Managers, issue to Directors’ on a weekly basis.
  • Minute key meetings and chase up any actions required
  • Organise and administer relationship matrix, managing Directors’ diary to arrange B2B, individual meetings etc.
  • General letter and report writing
  • Organise and co-ordinate staff appraisals, ensuring correct paperwork is completed and submitted to HR
  •  Log training requirements of staff and feed information back to the Training Team
  •  Monitoring of staff holidays; ensuring key members of staff are not on leave at the same time; ensuring the holiday request procedure are adhered to at all times and report to Directors’.
  • Managing the office;
  • Housekeeping is in order
  • Replacing broken furniture
  • Archiving
  • Meeting room bookings
  • Initial site set up of administration files
  • Organise events where required (client entertainment / HBS workshops)
  • Ensuring staff job role profiles are in place and submitted to HR
  • Assisting with recruitment drives; ensuring correct paperwork is completed and submitted to HR
  •  Booking hotels / trains for Directors’; ensuring correct documentation is completed
  •  Administration support, where required to the Contracts Managers

Qualifications Required:

  •  HNC-HND in Business Administration or equivalent (desirable)
  • Excel intermediate level (desirable)
  • Word

Skills Required:

  • Highly organised
  • Ability to multi-task
  • Can work on your own initiative
  •  Be adaptable to changes
  •  Confident in using technology / MS packages

Working Hours 24 hours:  To be agreed (with a view to becoming full time)
